Paperwork to bring with you (ALL participants not just athletes):

  • Proof of covid status
  • Appendix B (Although we have sent the athlete Appendix B forms via email it is our experience that this often counts for nothing and you still need to complete one at the event.)
  • Appendix C – please bring a completed hard copy with you
  • In Loco Parentis Forms – For U18 athletes only – you were requested to complete these during the acceptance process with Sport80 but only one parent has uploaded one so if your athlete is U18 then please send them to the event with a completed hard copy. The Team Manager will collect these on your arrival.

Please be aware of what route your athlete will choose to have data at the event, local sim cards are cheap, using their own data in Serbia may be very expensive. There is wifi at the hotel and at the venue. The organisers are using an app to disseminate information including when bags are ready at weapons control and piste allocations etc. and we will be using WhatsApp with the squads so we do want athletes to have data where possible.

We have created athlete WhatsApp Groups. These are for staff and athletes only, personal coaches are welcome to join the relevant group(s), any parents joining the groups will be removed, we will still actively monitor the parents’ group during the event. Please ensure you have your WhatsApp set up so it is your name that is seen within the group.

  • Check that your email address in the BF membership platform is up to date as we will be using this to contact you – https://bf.sport80.com/.
  • Check your passport will be valid for dates of travel.
  • Check your travel insurance – note that we have been alerted to potential issues with Sports Cover Direct policies where athletes (eg those in receipt of scholarships and grants) may be deemed professional and are therefore not covered. Please contact your insurance provider to confirm that you are sufficiently covered in your current financial and training circumstances.
  • If your personal coach wishes to attend please ask them to follow the instructions below.
  • Cadet and Juniors  – any discretionary forms must be completed and submitted in advance of this as per the relevant Selection Policy.

Covid

British Fencing recommends the use of an SPF2 mask, please bring enough masks for the duration of your stay.

Masks should be worn at all times when not fencing, please be as safe as possible. We would hate for anyone not to be able to compete by testing positive either before travel or during the event. Please familiarise yourself with the Covid protocols detailed in the invite letter especially if you are competing in both the cadet and junior events.

Transfers
The transfer list has been sent via email by Lorraine Rose. On arrival at the airport there will be someone to greet you with an event sign, you will then be directed to the bus that will take you to the Team Hotel.
Please be aware of the information detailed within the invite letter around official transfers. We will be provided with a schedule of return transfers in Serbia. These are generally displayed in the official hotels and at the venue.
There will be official transfers from the team hotel to the venue on event days.
If you want to use a taxi for any journey there is a three-person limit, and you are not allowed to sit in the front.

Currency
There are cash machines in the arrival hall at the airport, there is also an exchange desk. There are multiple currency exchanges in Novi Sad and there may even be an exchange machine or option to change currency at the hotel. The hotel is booked as dinner, bed and breakfast so your athlete will need money for lunch, snacks and water etc.
Cards, both credit and bank/prepaid cash are widely accepted.

Parents Please be aware that you have limited access within the venue space and will need to pay for your RAT testing. We have sent your accreditation photographs to the event organisers.
1. Parents or legal guardians have to be accredited and wear accreditation during the whole period of its stay in the same way as all other participants
2. Parents or legal guardians obtain access to the venue through a separate entrance
3. Parents or legal guardians have to do a Rapid Antigen Test (RAT) upon entry of the venue and every 4 days, both at their own costs. Only a negative test allows parents or legal guardians to enter the venue.
4. Parents or legal guardians will have access ONLY to the tribune of the main venue and coffee shop (venue 2 and 3 will be closed for any accompanying persons (pistes from 9 until 25). The RAT test costs 21,00 EUR and will be done exclusively in the venue.Quarantine
Please do a RAT test before you leave the house for the airport.

Updated COVID rules, procedures and measures of the Republic of Serbia have been established at the beginning of February:

  • A person tested positive on a PCR test but WITHOUT SYMPTOMS finishes his or her isolation after 7 days WITHOUT having to undergo an additional PCR test.
  • A person WITH SYMPTOMS and a positive PCR test has to make another test after 7 days of isolation. If the second test is positive a person will continue isolation.

Please be advised that after first 7 days of isolation a participant can have a PCR test every day on his or her own costs. A negative test releases the participant from isolation. Even if you are in possession of a recent certificate for COVID recovery, if you test positive on a PCR test, you will need to isolate without question.

Just in case
Please pack fencing clothing, masks, gloves, whites, shoes in your hand luggage where possible – even on direct flights luggage can be left behind.

Please as a precaution have a photograph of your fencing bag on your phone, it is much easier to show a photograph to the lost luggage people than to try and describe a fencing bag!We also advise taking a copy of the information page of your passport, again just in case. It also makes cancelling the passport quicker if you do lose it if you have the passport number

Make sure you have Fencing kit – in good working order. Your GB teamwear. Adapters, Chargers, Cables, headphones, anything else you cannot live without but also consider that things do get lost/stolen so think about what you bring.

Accepting Selection

You will receive an email from Sport:80. (If your name is showing as selected and you have not received an email please contact [email protected]. To accept your selection please follow the link in the email to log into the platform, click on the event and follow the entry process to pay the deposit amount shown by the deadline indicated. By accepting the selection and paying your deposit you are agreeing to  abide by all BF Policies and Procedures including:

Please note that due to the short timescales there will not be much time and if you do not accept the selection and pay you may risk being de-selected.

Immediate Actions (February 2022)

PLEASE NOTE:

Photos of athletes need to be uploaded to the EFC website (for cadet fencers competitions) or to FIE website for juniors. That differentiation is due to the fact that cadets’ individual and team events are EFC competitions whilst junior individual and team competitions are FIE Junior World Cup competitions.

Expected Cost

Individual Entry Fees:  60 euros (payable in advance)
Team Entry Fees:  200 euros (payable in advance)
Transfer Costs:  60 euros (payable in advance)
Hotel Costs: most athletes should expect to pay for 6 nights and should budget around £50-£60  B&B per night, based on a twin room
Staff (Chef de Mission and Team Managers) Contribution: £65/athlete
Referee Fee: 70 euros (payable in advance, for this event this is levied by the organiser NOT by BF)

Athlete Development Programme Subsidy: The Athlete Development Programme will be subsidising the cost to athletes of competing at the Europeans including:
a) paying for balance of the Chef de Missions, Team Managers to attend the event
b) covering team entry fees (200 euros per team)
c) covering the cost of ADP Coaches

This subsidy typically amounts to several hundred pounds per athlete.

Official Tracksuits

BF is delighted to announce a new 5-year partnership with Kukri to supply a full range of training and leisurewear, alongside a merchandise range and online shop. 

For athletes to access the Championship section, a password will be provided. This password should not be shared with anyone. The range is exclusive to athletes that have been selected for major championships

A voucher will be provided to athletes to support the purchase of the new team wear. With your permission, we would like to share your name and email address with our commercial partner so they can provide this service. They will only be using your contact details for these purposes. Should you not wish for your email to be shared, please inform BF using the query form above.

Patches/Logos

It is your responsibility to ensure your kit has the correct logos/patches and your equipment meets FIE standards.

As part of the terms of the Leon Paul sponsorship arrangement, all athletes competing are required to wear a Leon Paul logo. This should appear on the back arm. For foilists and epeeists the logo patch should be sewn onto the back arm ideally above the GBR logo. Sabreurs will need to have their lames printed directly by Leon Paul. This can be done at any event where Leon Paul have a printing service or at the Leon Paul shop. Alternatively, you can contact [email protected] and they will send you patches to sew onto your lame jacket (you will need to specify the type of lame – eg lightweight).

Please note that NO logos of any description, other than the GBR national logo, should be on the breeches – the FIE rules changed in September 2019.

Please also note that the commemorative event patches should not be attached to the fencing jackets (or breeches) that you will be wearing at the event.

Authorised Personal Coaches

ALL coaches must abide by the relevant BF policies including – http://britishfencing.com/uploads/files/gbr_coaches_policy_v1.0[1].pdf and http://britishfencing.com/uploads/files/coaches_code_of_conduct.pdf.

Please Note: As there is a staff allocation that is less than the number of fencers attending we are unable to guarantee accreditation for all personal coaches. The personal coach allocation is split 50/50 between cadet and junior.

The applications for accreditations of personal coaches for the cadets have exceeded the available applications. Accreditations will be awarded based on

  1. Coaches are up to date on the coach register
  2. If the fencers’ personal coaches has met the qualification standard for selection
  3. Coaches have consistently demonstrated suitable coaching behaviours and are not currently being investigated.
  4. Fencer selection place 1-4

Anti-Doping

There will be testing at the event.

Athletes: Athletes are solely responsible for any banned substance they use, attempt to use, or that is found in their system, regardless of how it got there and whether or not they had an intention to cheat. Athletes must

Coaches: As announced in September 2019, any coach wishing to accompany a GBR athlete to an FIE event, whether as a personal coach or as a squad coach must have undergone the online anti-doping training course Coach Clean within the last three years.

Parents: Parents are expected to support our efforts to keep our sport clean. We strongly advise that parents involved in supporting athletes at events undergo the Coach Clean course. All other parents are expected to support efforts to keep sport clean and read the WADA Parents Guide.

Travel

We are aware that the choice of direct flights to Belgrade (the closest airport) are in short supply from UK airports. For this trip, parents and athletes will be responsible for booking their flights to and from the event, ensuring that sufficient time is given to arriving at the meeting points. This includes taking any covid tests before the meeting takes place. BF will not be responsible for booking or changing any athletes flights for these championships. Due to the complexity of travel currently, we will be unable to advise on this area.

Please note any U18’s that needs chaperoning for travel please let us know and we will help to make arrangements where we can.

Other Travel Instructions

23kg will be enough for your fencing bag, providing you pack your fencing kit in your carry on case.

Do’s and Don’ts:

  • Do not take liquids or gels in your hand luggage. (100mls or under in a transparent bottle is OK).
  • Do not take tool kit items in your hand luggage.
  • Do put your mask, jacket, plastron, breeches, glove, socks, and a spare handle (if you have one) in your hand luggage in case any fencing bags get lost.  (This means that all you need to borrow to fence is a sword if the worst happens.)
  • Do travel in comfortable clothing,  wearing trainers to travel in.
  • Do not wear any GBR marked clothing whilst travelling.
  • Do pack any phone batteries in your hand luggage
  • Do ensure that ALL your electronic equipment (phone, etc) is fully charged, and can be shown to be working. If it isn’t, it may be confiscated at security.

Independent Travel

Athletes unable to travel from UK airports (eg athletes travelling from outside the UK) are permitted to choose to travel independently however they must not arrive on a later date or leave on an earlier date than the rest of the squad. Transfers need to be discussed with BF Head Office.

Daily Transfer to the Competition Venues

There will be a daily transfer provided by the competition organisors. All the details will be available at the hotel info point and at the info point of the competition venues.

Discipline and Behaviour

By accepting selection to represent GBR at any European and World Championships you have already agreed to the British Fencing Codes of Conduct. Please act responsibly and sensibly and understand that we are one collective team and respect and support for your fellow team members is expected and reasonable. In addition every member of the squad is being supported by public funding and is expected to behave in a way that recognises the responsibilities that this brings. Funding to compete (whether from public or private sources) is not an entitlement and we owe it to everyone that contributes to our participation to act as professionals and role models for our sport.

As a reminder Youth events are alcohol free for the entire duration of the stay and any athlete consuming alcohol should expect to serve a ban in accordance with the published sanctions. Parents and Personal Coaches attending events are expected to support athletes and are respectfully requested to refrain from consuming alcohol if they are socialising/eating with athletes.

Any breach of BF Code of Conduct may result in fines equivalent to any athlete subsidy paid by BF.
